Understanding the Application Process for Renting a Property in 7 steps
Renting a property can be an exciting but sometimes overwhelming process. To help make things as smooth as possible, we’ve outlined the key steps involved in our tenant application process so you know exactly what to expect.
Step 1: Viewing the Property
Before applying, you must view the property to ensure it meets your needs. We encourage you to ask any questions during the viewing to get a clear understanding of the home and its features.
Step 2: Providing a Summary
After the viewing, you’ll need to provide us with a summary that includes:
Full details of all tenancy applicants (full name, email, date of birth, job title, and salary for each person).
Your current living situation (e.g., renting, living with family, etc.).
Who will be living in the property (including any children or additional adults).
Whether you are able to provide a guarantor (a financially responsible person who will back your tenancy if needed).
A brief statement yourself and on why you want the property.
If there will be any pets
This summary helps us assess initial suitability before proceeding with the application form.
Step 3: Application Form
Once we have reviewed your summary, we will send an application form to all tenancy holders and any adults who will be living in the property. This must be filled out accurately and returned promptly.
Step 4: Guarantor Confirmation
If a guarantor is required, they will need to complete a separate Guarantor Form, confirming their agreement to act as your guarantor. They will also undergo financial checks to ensure they meet the requirements.
Step 5: Holding Deposit
After receiving all completed forms, you will be asked to pay a holding deposit of £150 to secure your place in the application process. This deposit allows us to begin background checks and is subject to the following conditions:
✔ If your application is successful, the holding deposit will be applied towards your first month's rent or security deposit.
✔ If your application is unsuccessful, a £20 per person fee will be deducted to cover the cost of background checks, and the remainder will be refunded.
✔ If you cancel your application during the background check process, the holding deposit will be forfeited.
✔ If the landlord chooses another applicant, you will receive a full refund of the holding deposit.
All holding deposits must be transferred via bank details provided at the time of request.
Step 6: Background & Credit Checks
All background and credit checks are conducted through the National Residential Landlords Association (NRLA) to ensure a thorough and professional assessment. This applies to both tenants and guarantors. The NRLA process includes:
Credit history review – Checking financial stability and any outstanding debts.
Employment verification – Confirming stable income and job security.
Affordability assessment – Ensuring applicants can meet their rental obligations.
Previous rental history & references – If applicable, checking references from past landlords.
The guarantor will undergo the same NRLA background checks to verify their ability to cover the rent should the tenant be unable to do so.
These checks are crucial to protecting both tenants and landlords by ensuring financial responsibility and suitability for the tenancy.
Step 7: Final Application Processing
Once all checks have been completed, the landlord will review your application and decide whether to proceed.
✔ If your application is approved, you will need to pay the remaining deposit and first month’s rent immediately to officially secure the property.
✔ If your application is declined, you will be notified, and your holding deposit will be refunded according to the terms outlined above.
